Bulk guest import is useful when your guest list already exists in a spreadsheet or partner file. It saves time, but only if the data is clean before you import it.
Prepare the file carefully before sending invitations or guest tickets.
Clean the source list first
Before importing, check:
- Names are split or formatted consistently.
- Email addresses are valid.
- Duplicate guests are removed.
- Partner or category labels are clear.
- Ticket quantity or allocation is correct.
- Special notes are still relevant.
Do not import old lists without reviewing them. Outdated guest data creates support work and can send access to the wrong people.
Map guests to the right event
Guest lists belong to a specific event. Make sure you are importing into the correct event and organisation before saving.
If one person should attend multiple events, decide whether they need separate event access or a broader ticket product.
Decide whether to send immediately
After import, you may want to review the list before sending anything. This is safer for sponsor lists, press lists or guest data received from multiple teams.
If guests should confirm attendance, import them into an RSVP flow instead of sending final guest tickets immediately.
Keep internal ownership clear
For larger events, assign one owner for each guest segment. That makes last-minute questions easier: press, sponsors, VIP and staff should not all be managed from informal spreadsheets.
